1. Introduction

Scotrack ("Scotrack", "we", "us") operates a directory of schools and childcare providers together with a school-transport tracking service. This policy explains what personal data we collect, how we use it, and the choices you have. It applies to parents, students, drivers, school staff and visitors to our website and apps.

2. Information we collect

  • Account data — name, email, phone number, role and password (stored only as a secure hash).
  • School & student data — school profiles, classes, student records and route/stop assignments provided by schools.
  • Location data — while a driver is running a route, the Scotrack app shares the vehicle's GPS location so assigned parents can see the bus live. Location is collected only during active trips.
  • Attendance & boarding data — QR-code scans and RFID/NFC student-card taps recording boarding, attendance and drop-off times.
  • Usage & device data — app/site interactions and basic device information used to keep the service secure and reliable.

3. How we use your information

  • Provide the directory, enrolment and live-tracking features.
  • Show parents the real-time location and ETA of their child's bus.
  • Record QR & RFID/NFC check-in, mark attendance, and send boarding, arrival and drop-off notifications.
  • Verify accounts, prevent abuse and keep trips safe and accountable.
  • Respond to support requests you send us.

4. Children's data

Student information is provided and controlled by the enrolling school and the child's parent or guardian. We process it solely to deliver transport, check-in and notification features, and we do not sell it or use it for advertising.

5. Location data

Bus location is streamed only while a driver has an active route and is visible only to the parents of students assigned to that route, and to authorised school staff. Drivers can stop sharing by ending the trip. We retain trip history to support safety, disputes and audit needs.

6. Sharing & disclosure

We share data only as needed to run the service — for example between a parent, their child's school and the assigned driver — and with infrastructure providers who process data on our behalf under contract. We may disclose information where required by law. We do not sell personal data.

7. Data retention

We keep personal data for as long as your account is active or as needed to provide the service, then delete or anonymise it, unless a longer period is required by law.

8. Security

We use encryption in transit, hashed passwords, secure QR & RFID/NFC cards and access controls to protect your data. No system is perfectly secure, but we work to protect your information and to notify you of material incidents where required.

9. Your rights

You may request access to, correction of, or deletion of your personal data, and object to certain processing. To exercise these rights, contact us using the details below. Student-record requests may be routed through your school.
